Badge pickup/ check in:

Merill Hall (registration desk) 10/18 3 p.m.–6 p.m. or 10/19 8 a.m.–12 p.m.

Set up: 2–5 p.m. on Monday, October 19 in Fred Farr and Kiln.

Space: Displays must fit within a 6 ft. by 8 ft. space. You will be provided with a 6 foot table, 2 chairs, and a trash can.

Dismantle: 7–9 p.m. on Wednesday, October 21 or Thursday morning.
Please note: TriCord will be dismantling poster boards and picking up shipments Thursday morning (exact time TBD); however, you may dismantle at this time if you'd like to attend Wednesday night's dinner and reception.

Exhibits must be kept intact until the closing of the exhibits.

All aisles must remain clear for public passage.

All shipping will be handled through TriCord Tradeshow Services. You cannot ship directly to Asilomar. You may also bring your materials with you.

Delivery details: All materials shipping to TriCord will be delivered to your exhibit space on Monday, October 19 by 2 p.m.

Outbound shipments: See material handling form above. All Outbound shipments will be handled through TriCord Tradeshow Services.

Standard wall outlets are available for small items (laptops and monitors). Please bring or ship your own 25 foot extension cords. Extra electricity must be ordered through Asilomar. Please contact mitzy@navbo.org if you require additional electricity.

All exhibit hours are integrated with poster sessions.

Lodging rates:

The nightly rates below are per person based on the occupancy type and includes 3 meals per day and all applicable fees & taxes. An additional one-time processing fee of $20 per person will be added to all reservations.

Single occupancy: $320.19 per night

Double occupancy: $214.47 per night

Attendee with Guests: $320.19  + $108.76 per additional adult + $76.92 per youth (3-12 years old)

If you are planning to stay with a colleague and you are paying separately, specify their name under "Requests" in the Guest Information section of the reservation form.

Check-In Time: 4PM

Check-Out Time: 11AM

Meals: Your lodging at Asilomar includes dinner on the night of your arrival through breakfast on the day of your departure. 

If you are not staying at Asilomar but would like to have meals with attendees, you can purchase meal tickets in advance. Please email info@navbo.org to add meals onto your registration.

Lodging Cancellation Policy:
A full refund, less a service charge of $100 per person, is given for cancellations received by 5:00pmPT on September 16, 2025. Regrettably, no refunds can be made for cancellations received on or after September 17, 2026.
